How to Send a Mailing to Specific Addresses
The Mailings Module allows you to filter for which addresses you would like to send to (Ex. primary addresses or all addresses when using our Email Templates) for email mailings. For hard-copy mailings, either our Letter Template or Mail Merge Templates, allow you to filter for this as well (Ex. primary addresses, all addresses, or only address types that are listed as options in your database).
In this guide, we will walk through how to send a letter mailing to only business addresses:
1) Navigate to Settings, which is located in the upper right-hand corner of your database.
2) Click on Lookup tables under Account Settings.
3) Click on Address Types.
4) Check that Business is Active. If it is not listed, you can click on ‘Add New’ to include it by entering it in the Code field and select ‘Save’.
5) Next, navigate to Mailings > Create a Mailing. You will have needed to already set-up your templates. By typing in ‘template’ in the Search bar of the Library, you can locate these step-by-step guides.
6) Select your type of Mailing. This corresponds with the template you created (Ex. if you created a Thank You Letter Template, you may click on Thank You).
7) Select your Template Type.
8) Select your template. This will be the name of the template you already created.
9) Step 4 in the wizard is crucial as you’ll be able to filter here. Use the Address Filter drop-down to select ‘Business’ so that the mailing is set-up for only the addresses that are listed as this type in your database. You can leave this checked-off if you choose: ‘Use Primary Address if no Matching Address Type’.
a. Feel free to filter further using the Mailing Options and Filters sections too. Please note that all options in Step 4 of the wizard in the Mailings Module effect the number of available records in Step 5.
b. Then click on Continue.
10) Name and date your mailing. You may then click on ‘Save Mailing’ to create it.
11) Click on the Download button to export your file if it is a hard-copy mailing like our example. You can always click on the ‘Remove’ buttons to the right if you want to manually exclude any contacts prior to downloading. Before you print your hard-copy mailing on your letterhead (to include your graphics, logos, etc.), we always recommend reviewing it to ensure everything looks accurate and that all fields are populated. To save paper, you can choose to print only the first page in black and white, of your Microsoft Word document to do a preliminary review before printing the entire file in color.
