How to Use the Mailchimp Integration
Our Mailchimp Integration is a one-way integration. Eleo sends over a few fields including First Name, Last Name, and Email Address to the email marketing platform. We suggest contacting Mailchimp with questions about using Mailchimp or navigating to https://mailchimp.com/ and clicking on their Resources tab for helpful information when familiarizing yourself with their platform.
Note: Use Eleo to pull and export the contacts you want to email, then switch to Mailchimp to compose and send the email directly. Eleo manages your donor data, while Mailchimp handles email creation and delivery.
Here are the step-by-step instructions on using Eleo’s integration with Mailchimp:
1) Create an account with Mailchimp and review the document in the Guides tab of the Library titled the ‘MailChimp Integration’ to learn about integrating with this email marketing platform first.
2) Once you have an account with Mailchimp and have your integration set-up in Eleo, you will need to create your campaign in Mailchimp. In a separate tab of your internet browser, login to your Mailchimp account by clicking on ‘Log In’ which is in the upper right-hand corner of https://mailchimp.com/
a. Enter your credentials and click on ‘Log In’ to access your account.
b. From the navigation bar on the right-hand side, click on the Campaigns symbol.
c. Click on ‘Create Campaign’ on the right-hand side.
d. You will be prompted to select the type of campaign that you would like to use. We recommend selecting Email Template for your integration with Eleo.
e. After selecting Email Template, you may then select which Layout, or Theme, works best for you and your organization’s needs. You have the option to code your own if you would like to.
i. Once you have selected the starting point that works best for your organization’s needs, you will be brought to an editing screen. In our example, we had selected ‘A Special Thank You’ from the Themes section.
ii. It is best practice to familiarize yourself with editing your template in Mailchimp and reference their Resources tab for additional guidance.
iii. Once you have finalized your template, hover over ‘Preview and Test’ in the upper right-hand corner and you can either click on ‘Enter preview mode’ to preview your template or click on ‘Send a test email’ to send yourself (or another member of your team) a test of it.
iv. Once you have either previewed and/or tested your email, please feel free to make any additional edits.
- You may then repeat steps 3ii through 3iv until you are ready for step3v.
v. When you are ready and have finalized your template, click on ‘Save and Exit’.
vi. You will then be prompted to name your template. Enter what you would like to title it and click on Save. Please ensure that the name of your template corresponds with your mailing in Eleo.
.vii. You will then be brought to the Templates screen that gives an overview of all of the email templates that you have made in Mailchimp to date.
viii. To make this email template a campaign in Mailchimp, click on the arrow to the right of Edit, and select Create Campaign.
ix. You may then fill out the corresponding fields for To, From, Subject, and Content to edit your recipients, who this is being sent from, your subject and preview text, and your design further.
1. Please note that if you do not have at least one subscriber already added to your Mailchimp audience in Mailchimp that is listed in your Eleo database, you will be unable to send your list over from Eleo.
i. You may then click on either Finish Later, Schedule, or Send depending on when you would like to send it out. We strongly suggest clicking on Finish Later next so that you can now head into Eleo to set-up a couple of items before proceeding to send.
3) Next, you may hop over in a separate tab of your internet browser to your Mailings Module in Eleo.
a. First, you will need to have an Email Template created. For additional assistance, please review our document in the Guides tab of the Library on ‘How to Create an Email Template’.
b. Then, follow the guide on ‘How to Create an Email Mailing’
.i. At the end, you will select ‘Send to MailChimp’ (which corresponds with Step 8 of that guide as depicted in the example below).
i. Once you click on the ‘Send to MailChimp’ button, this screen will appear where you may select your corresponding Mailchimp campaign that you created from the drop-down:
ii. You may then click on ‘Okay’ when it lets you know that ‘MailChimp was successfully updated!’
i. Your Mailings Preview Page will then update with these overview statistics since you have not yet sent out your mailing in Mailchimp:
User Tip: Please remember that you do not mark your mailing as sent until you have actually sent it out. This button is key in Eleo because your email could be sitting as a draft in Mailchimp still.
4) Now head back into your Mailchimp account and refresh your page. You may now click on either the Schedule or Send button in your Mailchimp Campaign.
a. If you have upgraded your account, you may click on ‘Schedule’ to schedule your email for a particular time.
b. This will give you the option to either send it at the best time that maximizes engagement, send at the time you select, or send in batch delivery.
c. After clicking which option works best for you (if you are using the Schedule Your Campaign feature), you may click on ‘Schedule Campaign’:
d. If you are using the free version of Mailchimp, you may click on ‘Send’ to immediately send your Mailchimp Campaign for your email mailing.
e. Once you have sent your email from Mailchimp, you will be brought to a screen like this that reflects that it has been sent to your subscribers for this campaign:
5) You may now bop back into your Eleo database and refresh your Mailings Preview Pagefor your corresponding mailing. It will reflect the Mailchimp emails sent for this campaign for the number of emails sent, the open rates, bounce rates, and number of those that opted out. You may continue to check back for updated percentages.
6) You have now successfully learned how to use your integration with Mailchimp!
a. If you are using the free version of Mailchimp, we advise that you only have one audience in your Mailchimp account.
b. We also highly suggest manually indicating anyone who has unsubscribed from your Mailchimp mailings with ‘Do Not Email’ in their Contact Record.
- If a contact is marked as ‘Do Not Email’ in your Eleo database, they will not be sent an email through the Mailchimp integration, even if they have not yet unsubscribed.
