Understanding Anonymous User Roles

There are many different types of access to Anonymous donors and gifts.


ADMINISTRATOR USER ROLE WITH COMPLETE ACCESS:


• The Administrator Role has full access to everything in the database.

• Anonymous records will be marked as such, but the Admin can still see the name of the donor as well as the donor’s name associated with the gift in their record and on reports.

• Can create lists/reports that include anonymous donors/gifts.

• Anonymous gifts will be included in gift totals.

• Anonymous gifts and anonymous donors will still show on the Home screen and will be included in total gift amounts.

Examples to use for reference for all additional user roles:


USER ROLE WITH NO ACCESS TO ANONYMOUS CONTACTS:


• User will not be able to see the anonymous donor’s personal contact information.

• The anonymous contact will display as ‘Anonymous’ throughout the database (Ex. records, reports, home screen, etc.)

• For Events, the record will display as ‘Anonymous’, but you will not be able to click on it or add a payment.

• For mailings, when a user with access creates a mailing, the user without access will see the record listed as ‘Anonymous’.

• For mailings, when a user without access creates a mailing, the anonymous contact will not show on the mailing list at all.

USER ROLE WITH NO ACCESS TO ANONYMOUS GIFTS:


• Anonymous gifts will be completely hidden from all screens, reports, and totals.

USER ROLE WITH NO ACCESS TO ANONYMOUS PLEDGES:


• Anonymous pledges and their associated pledge payments will be completely hidden from all screens, reports, and totals.

USER ROLE WITH NO ACCESS TO ANONYMOUS MEMBERSHIPS:

• Anonymous memberships and their associated membership payments will be completely hidden from all screens, reports, and totals.

Home page widgets will also omit the Anonymous Membership payments from all lists and totals under the restricted login.

NOTE ABOUT ANONYMOUS CONTACTS AND WEB FORMS:

If an individual coded as an anonymous donor in the database completes an online Donation Web Form, they will not show as ‘Anonymous’ in the Web Form Pending Folder on the Web Form Dashboard. Their full name will be listed.


However, the Eleo user with no access to anonymous contacts will still not have access to any information in the record coded anonymous; they will see only the name listed.


If you wish for the restricted user not to see the names of the donors coded as anonymous, you must remove Web Form Access from their user role permissions.
