How to Send Gifts to QuickBooks
There are two ways to send gift information to QuickBooks in Eleo. This document will provide the steps to send multiple gifts, but if you would like to see how to send an individual gift to QuickBooks, please review the ‘How to Send an Individual Gift to QuickBooks’ guide.
1. Go to ‘QuickBooks’ in the main navigation and then select ‘Send Gifts’.
2. Select the gifts that you would like to send to QuickBooks. You may modify any of the following to narrow down the records that you would like to include.
- Uncheck boxes of exclusions. NOTE: The 2nd exclusion refers to the ‘Exclude’ field on the gift record.
- Set a date range based on the gift dates that you want to include.
- Add a gift filter. Click on the + symbol next to ‘Gift Filters’ to expand these options.
Once you have made your selections, select ‘Continue’.
3. Select a contact and action for each record.
Eleo Contact: lists the Eleo contact information in the database.
QB Customer: Will display ‘New Contact’ in red if this will be a new QuickBooks contact. If the contact has already been sent to QuickBooks, it will list their name in QuickBooks in black.
Gift Information: lists the information about the gift that was found
Action: Choose to Ignore this record, or Add it to QuickBooks.
If there are gifts with funds that are not set up for QuickBooks, their Action column will display a red message. You can connect a fund to a QuickBooks account under Settings > QuickBooks Settings, otherwise that gift will be ignored.
4. Once you make all your selections, scroll to the bottom of the page, and select ‘Continue’.
5. The number of new gifts to be sent to QuickBooks and the number of gifts with invalid funds (funds not connected to a QuickBooks account that will be ignored) will be displayed. If it looks correct, select ‘Continue’
6. You will see this box come up first.
7. The Processing page will refresh every few seconds and update the progress until it is done or runs into an issue. When it is done, it will say ‘Finished’ in the Status. There is a status column which shows whether the gift was successfully sent or any errors that occurred.
