How to Use the Volunteer Module
Eleo has a Volunteer Module, which you can use to add volunteer jobs and keep track of volunteer hours.
1) From any screen, hover over Volunteers, and click on ‘Add Volunteer Job’.
2) Fill out all necessary fields. Anything with a red asterisk (*) is required. Everything else is optional. Please see below for the field descriptions.
Job: Name of the volunteer job.
Status: Whether or not this job is currently active, inactive, cancelled, complete, or on hold.
Description: A description of what this job entails.
Job Date: Dates volunteers are needed for this job.
Days: Days of the week a volunteer is needed.
Job Time: Time of the job.
Volunteers Needed: Number of volunteers needed for this job.
Skills Needed: Mark off any skills needed for this job (Volunteer Skills can be created under Settings > Lookup Tables).
Location: Address and contact information for this job.
3) Once you have entered all of the necessary information, click on ‘Save’ in the upper-right hand corner of the screen.
4) You can then enter information in the additional tabs, which will now become active.
5) The ‘Volunteers’ tab is where you can add, search for, and remove volunteers for this job.
You can search for a particular volunteer that has already been added to this job, or search based on the volunteer status (assigned or not assigned). You can also add volunteers, or remove them, using the green buttons in the top right-hand side.
6) Clicking on ‘Add Volunteers’ will bring you to this screen. You may search for a volunteer using their name or any of the search criteria on the screen. For example: if you are looking for someone with grooming skills that is available on weekend evenings, you would mark off the criteria accordingly. Then, click on ‘Search’.
7) This will bring up anyone who meets the criteria that you set. Mark off the names of anyone that you would like to add to this job, and the press ‘Save’. If you need to go back and modify the criteria, you may do so by pressing ‘Previous Step’.
8) The Hours tab is where you can track a volunteer’s hours of working for this job. Add hours for a new volunteer by clicking on ‘Add Hours’. You may also search for existing volunteers that have had hours added, by typing their name into the ‘Search’ field of this tab. You may choose ‘Remove Hours’ if you need to remove ALL hours from this job too.
9) Clicking on ‘Add Hours’ will bring up the screen on the next page of this guide. Fill out the required fields. Choose the Volunteer name from the drop down. The volunteer must already be assigned to this job to appear in this list. Next, add the date that you wish to add hours for, and the number of hours. You may also list any notes if necessary. Once you are done, click on ‘Save’.
10) The Reports tab includes some Volunteer reports. If you run them, they will show data for the job that you are currently in.
11) If you wish to see information for several jobs, use the Reports tab in the navigation bar to review our available Volunteer Reports.
A. Navigate to Reports > Volunteer Reports > Select any report.
B. We recommend when filtering by Job Dates, that you ensure that they match the dates that you setup in that corresponding job under the Volunteer Module in the Information tab so that you are able to pull the data that you need.
